Helm help

  • Sharing a boardHelm

Show the board you want to share so it is the one on screen, then press Share beside the board's name at the top. (Share is greyed out when several boards are on screen — show one board first.)

The share screen first says What you are sharing: the board and every calendar on it, by name. It lists the people on this board and anyone already invited.

To share with someone who has Helm: type their Helm account's email under Share with. The line below says what they will get. Press Share (the button carries the board's name). Everyone on a shared board can do everything on it. The board stays in your account — only that board is shared, never your whole account.

If they do not have Helm yet: after you type their address, Helm says they don't have Helm yet and offers Invite with their address. They get an email from you asking them to join Helm free, and they land on this board. The screen shows how many invitations you have left and when the invitation ends; you can Withdraw it until they accept. Press Not now to skip. If invitations are not open for your account, the screen says so and nothing is sent.

On the same screen you can Remove a person from the board. Press Done to close it.

  • Repeating tasksHelm

In Helm a repeating task is a reminder: it makes a new to-do for you on a schedule. Every repeat is made and managed in one place, the Reminders drawer.

To make an existing to-do repeat: on its card on the board, press Repeat (beside Give to agent). You can also open the card and press Repeat…, or choose Repeat… on a to-do in the Day or Week view. The Reminders drawer opens with the to-do's title and board already filled in. The to-do you started from is not changed; the repeat makes new to-dos from its next time on.

To make a new repeat from scratch: press Reminders at the top of your board (on a phone: More, then Reminders; or Settings, then Reminders). On the calendar, the "Repeats in view" block has a New repeat button. Under New reminder, fill in:

    • the title of the to-do it makes, • how often: Once, Daily, Weekdays, Weekly, Monthly, Every few days, Yearly or Custom, • Time and Time zone, • Add to — the board the to-do appears on (a board is required), • Column — the column it lands in,

    then press Add reminder.

To change one later: open Reminders. Each repeat has a switch to Pause or Resume it (a paused repeat makes no to-dos, and when resumed starts from its next time), a pencil to Edit reminder, and a bin to **Delete reminder**. Deleting a repeat never deletes the to-dos it already made.

  • Linked accounts allowanceHelm

Linked accounts share one allowance. Everything the agent does in any of them draws on a single allowance: the one on the highest plan among them — or, if they are on the same plan, the one that has already used the most this month. Linking never adds another allowance, and a paid account is never downgraded by a link. This is so linking several accounts cannot multiply what you can use.

Each account still keeps its own to-dos and calendar. Linking joins the allowance and lets you see the accounts together; it does not merge their data.

Where to see it: Settings › Plan shows "Shared by your linked accounts", lists the accounts and names which one the allowance comes from. Settings › Accounts lists your linked accounts.

To link another account: Settings › Accounts › Link another Google account. A confirmation explains the shared allowance before anything happens; press Continue to Google sign-in and choose the account. You sign in to it once; Helm never sees its password.

If you unlink: neither account loses any to-do, board or reminder. The two accounts keep sharing one allowance until it next resets; after that, each has its own again.

  • Import pasted notesHelm

To turn pasted notes into to-dos, press Import at the top of your board (on a phone: More, then **Import to-dos; or Settings, then Import to-dos). The Import Todos** dialog opens.

Paste your notes, meeting transcript, brain dump or email thread into the text box (up to 15,000 characters), or drop in a .txt or .md file (or click the box to browse for one). The footer shows Goes to — the account and board the new to-dos will land on. Then press Extract and Import.

Helm reads the text, makes a to-do with a priority for each thing to do, and shows how many were created, a list of them, and short advice on what to focus on first. The new to-dos are on your board, where you can change their priority and column. Press Import More to do another batch, or Close.

If nothing to do was found, it says "No todos found in the text". If reading the text failed, it says "Nothing was imported". Importing draws on your allowance.

  • Harbor projectsHelm

Projects are made and kept in Harbor; Helm only points a to-do or a whole column at one.

A single to-do: open the card. In its Projects section press Link to a project, then pick from **Your projects (grouped the way Harbor keeps them). You can also name a new project and press Create and link** to make it in Harbor and link it in one step. Linked projects show as chips under the card; use a chip's unlink control to remove it. Open in Harbor takes you to the project.

A whole column: open the column's menu (the ⋯ beside its name) and press Link to a project. Every card in that column then shows the project too, marked "via column". Moving a card out of the column removes that project from it; there is nothing to unlink on the card.

A card that belongs to another of your linked accounts must be linked from that account.

  • Give to agentHelm

Give to agent is on every card, in every column. (If you have named your agent, the button reads "Give to" and its name.) Pressing it opens a dialog for that one to-do:

    1. Who does this — the agent, or you ("Keep it with me"). 2. When — Now, At its time on the day, or Tonight. 3. Before you confirm, the dialog shows when it Starts, what It will do, its Size, and **Before it sends anything: Asks you**. You can attach the email, documents or notes it needs in the same dialog. 4. Press the confirm button (for example "Give it to the agent now").

The to-do stays in its column. The agent first reads it and proposes a plan; nothing runs until you approve. The plan shows what it will and will not do and what is yours to decide. Press Approve to let it run, Not now to decline, or discuss it to change the plan.

Where results appear: the Agent page (the Agent pill in the header, or the Agent tab on a phone). It has Needs you (plans waiting for your approval and results waiting for your review), Working now, Scheduled (a to-do given for later shows here once you approve its plan) and Done. Work always starts from a card; the Agent page does not start anything itself.

The agent never runs on its own and never makes a choice for you. You are charged only for work that runs; anything it turns out it cannot do costs nothing.

  • Daily briefHelm

Today's brief is a short, numbered list of what to do first, with a reason for each. It heads your Day view, or sits above the board in the Board and Split views.

The brief is not automatic unless you turn it on. When no brief has been made today, press Make today's brief (or "Ask … for today's brief" once you have named your agent). Each brief draws on your allowance.

To make it automatic: Settings › Agent has an Automatic daily brief switch for each of your accounts (the same switch is on each account in Settings › Accounts). Turn it on only for the accounts you want.

On the brief you can press Re-plan for a fresh one, fold it to one line, or collapse it to a narrow strip on the left. Each item can be boosted or dismissed, or you can tell Helm why it doesn't fit (Don't have time, Already done elsewhere, Missing context, Other). After 4pm it asks once whether today's brief was useful.

  • Connect emailHelm

You connect your email from inside a to-do. Open a card (or the Give to agent dialog) and find its attachments section, then press Connect your email.

Helm reads your mail through Harbor, Memriq's inbox service, on your one Memriq account. If your account doesn't have Harbor yet, Helm offers Set up my Harbor account first, right there. Then choose which email address to connect and how. For a Google address, connecting with Google is offered first where it is available; other ways are listed with the reason each can or cannot be used. If you use an app password, it is sent once and never shown again.

Once connected, the to-do shows "Email connected", and you can press Find the email for this to-do — Helm searches your mailbox read-only and attaches the one message it is sure of, or lists a few to pick from. A Gmail connection can be ended with Disconnect, and Connect another address adds another.

When you give a to-do that mentions an email to the agent, it looks for that email in your connected mailbox. You can always attach the email by hand instead.

  • Adding a columnHelm

To add your own column: on the board, go to the right-hand end of the columns and press + Column. Type the name in the "Column name…" box and press Add (or Enter). Press ✕ or Escape to cancel. If Helm refuses the column, it says why under the box. A column you add while one board is on screen belongs to that board; one added while viewing all your linked accounts together goes to the account you are adding to-dos to.

To rename a column: click its name at the top of the column, type the new name and press Enter.

To change the column order: open the column's menu (the ⋯ beside its name, labelled "Column menu for …") and press the left or right arrow ("Move … left" / "Move … right"). This works for every column, the standard ones and your own, and each move is saved as the board's column order straight away — there is no separate save button.

To delete a column you added: open its menu and press the bin (Delete column). Helm asks first; the to-dos in it move to Backlog. The standard columns cannot be deleted. The same menu also has Collapse column.
